1. Establish one controlled project baseline
Contract furniture information often arrives across architectural drawings, interior elevations, room data sheets, furniture schedules, material boards and email comments. Before a factory prices or engineers the package, these sources need a clear hierarchy. Identify the controlling issue date, room types, quantities and any information that remains provisional.

3. Approve materials and finishes with physical controls
Wood, stone, metal, textile and coating can vary in color, grain, sheen and texture. Screen images are useful for coordination but should not become the only acceptance standard. Use physical samples made with the intended substrate and finishing system. For natural materials, approve a range rather than a single ideal piece.
Record sample codes, dates and signatures, then retain control samples for production comparison. Define grain direction, veneer matching, visible and concealed surfaces, sheen range and acceptable natural variation. Review samples under lighting similar to the final space, because warm lamps and daylight can change perceived color significantly.
4. Connect construction details to performance requirements
The specification should describe how the furniture will be used: guestroom, lobby, restaurant, office, retail or residential. Occupancy, cleaning chemicals, loading, mobility and maintenance access influence structure and material selection. Identify relevant fire, durability, emissions or accessibility requirements and the evidence expected from the supplier.
Hardware deserves its own schedule. State brand-equivalent rules, finish, cycle expectation, soft-close behavior, keying and replacement availability. For seating, define comfort approval and testing expectations. For casegoods, identify anti-tip, anchoring, stone support, electrical integration and ventilation requirements where applicable.
5. Use prototypes and mock-ups to close decisions
A material sample answers appearance questions, while a product prototype can reveal proportion, comfort, access, construction and assembly issues. A sample room goes further by testing coordination between furniture, lighting, power, walls, flooring and operational use. Define the purpose of each review so comments remain focused.
Document every approved change and transfer it into the controlled drawings, bill of materials and finish schedule. Do not rely on the factory to remember verbal decisions from a mock-up meeting. If the sample is the quality benchmark, identify where it will be stored and how production inspectors will compare against it.
6. Plan packing and delivery around installation
Export packing should protect corners, finished faces, glass, stone, hardware and projecting features. At the same time, it should allow the site team to identify and move items efficiently. Package labels can include project, building, floor, room, item code, quantity and orientation using the same references as the approved schedule.
Confirm access restrictions, elevator dimensions, delivery sequence, storage conditions and who removes packaging. Clarify whether products arrive assembled, knocked down or in modules, and who performs final installation and adjustment. Spare parts, touch-up materials and maintenance information should be listed in the handover package.
7. Align the technical package with commercial handover
The purchase order should reference the approved drawing and finish schedule, agreed quantity, delivery terms, inspection points and packing scope. Identify which samples, tooling, drawings and replacement materials belong to the buyer and how long the supplier will retain them. Variations should have written cost and schedule approval before work proceeds.
At completion, assemble a practical handover record: final drawings, finish references, hardware list, care instructions, packing list, spare quantities and open-item status. This information helps the operator maintain the furniture and allows future replacement orders to begin from a controlled baseline rather than from photographs or memory.
For phased projects, define how approved standards carry from one release to the next. Later production should reference the same controls while documenting approved substitutions, site-driven changes and lessons from the first installation phase.
